What do the sales order statuses mean, and how does an order move between them?

A sales order’s status shows how far it has progressed. From Ordered onward, Endless sets it from the states of the order’s fulfillment orders.

  • Draft: the order is being prepared and is not confirmed. Select “Commit Draft” to confirm it, which moves it to Ordered.
  • Pending: the order arrived from an integration such as Faire, Walmart, Wayfair, Mirakl, Rithum, or EDI, and is waiting for approval. When the sales channel’s “Auto-approve Orders” setting is on, which is the default, Endless approves it right away and it moves to Ordered. When the setting is off, someone selects “Approve Order.” Pending orders that did not come from an integration always need approval. Approval fails, and the order stays Pending, if the order has no items or an item has a quantity of zero.
  • Ordered: the order is confirmed. It stays Ordered while none of its fulfillment orders is In Progress or Fulfilled. Fulfillment orders in Draft, Allocated, Ready, or Failed do not move it on.
  • In Progress: at least one fulfillment order is In Progress or Fulfilled, but Fulfilled fulfillment orders do not yet cover every item.
  • Shipped: Fulfilled fulfillment orders cover the full quantity of every item.
  • Canceled: the order was canceled.

Endless creates fulfillment orders only for confirmed orders, so a Draft or Pending order cannot have them. Commit or approve the order first.

A shipment alone does not make an order Shipped. A fulfillment order becomes Fulfilled when its shipments cover all of its items, and the sales order becomes Shipped when that is true for every item it contains. If a shipment covers only part of a fulfillment order, or some items are not on any fulfillment order, the sales order stays In Progress. Ship the remaining items, or create a fulfillment order for unassigned items.

Status can also move back. Canceling every fulfillment order returns the order to Ordered, and removing a shipment can return a Shipped order to In Progress or Ordered.
