How do order approval and payment status work, and why is an order still Pending?

A Pending order from an integration needs approval before Endless creates fulfillment orders for it. The sales channel’s “Auto-approve Orders” setting decides how that happens.

  • On, the default: Endless approves the order when it arrives, and it moves to Ordered.
  • Off: the order stays Pending until someone selects “Approve Order” on the order or “Approve Orders” in bulk, or an automation with the Approve Order action approves it.

Turn the setting off on the sales channel’s Settings tab to require approval. Pending orders without a source integration are never approved automatically.

An integration order stays Pending with the setting on when Endless cannot approve it: it has no items, an item has a quantity of 0, or it has no sales channel. Select “Approve Order” to see the reason for item problems. Fix the items or set the sales channel, then approve the order. Contact Endless support for help with an order that stays Pending.

A Pending order cannot be allocated or fulfilled, because Endless creates fulfillment orders only for confirmed orders. An automation that needs a confirmed order records that it “is waiting for the order to be approved.” After 30 days it stops with “the order was not approved within 30 days.” Approve the order to let it continue.

Payment status comes from the order’s source. Shopify and Amazon send one. Faire, Mirakl, Rithum, Walmart, and Wayfair do not, so their orders start as Payment Pending even when the customer paid. Change it in “Edit Financial Details” on the order’s Payment card.

A sales order you create by hand starts as Payment Pending. A replacement made with “Report & Reship” starts as Paid, because the customer paid for the original. You can change it in the Duplicate order dialog.

To track your own payment steps, such as “Invoice sent,” use an order tag. Payment statuses are a fixed list: Payment Pending, Payment Authorized, Partially Paid, Paid, Partially Refunded, Refunded, and Voided.
