How do I keep track of an inbound supply shipment, including carrier tracking, notifications, notes, and documents?
Endless keeps a supply shipment’s tracking details, notes, documents, and history on the shipment itself, and you follow its progress there and on the Dashboard.
To follow arrivals and status changes, check each shipment’s status and the Shipments list. To find a shipment or transfer by container number, use the command palette and open its quick view. Filter the Shipments list by Total Units. With shipment financial access, you can also filter by Total Shipping, Total Duties & Fees, or Total Landed Cost. To spot late shipments, check Shipments at Risk on the Dashboard.
The Key Information card on the Details tab has Shipper/Forwarder Name, Carrier Name, Tracking Number, Vessel Name/No., Container No., and Container Size. These fields are for reference. Choose the next status action in the shipment header and keep the expected dates current on the Dates card, including for transfers between your buildings. When a shipment was sent to a connected warehouse, the warehouse integration can mark it Received. To update status and arrival dates from carrier tracking, your developer or an AI coding tool can build a Custom Fulfillment integration with the Endless API. API access must be in your plan.
The Activity tab lists:
- when the shipment was created
- each status change, including the previous and new status
- saved edits to shipment fields, such as “Updated carrier and tracking number”
- results of sending it to a warehouse, and cost assignments
- warnings when received units could not be added to stock
The stock added by receiving appears on the inventory item’s Activity tab.
Add notes after you create the shipment, on the Notes tab with “Add note,” at any status, including Closed. An authorized AI assistant can read shipment notes, newest first, with their authors. Deleted notes are omitted. You can edit or delete only the notes you wrote.
To add notes to many shipments at once, include a Notes column in a shipment import, which is “Import Shipments” on the Shipments list. A file with only Shipment Number and Notes adds a note to each matching shipment, at any status. Each upload adds the text as a new note credited to the person who ran the import. It does not edit or replace existing notes, and it skips text the shipment already has as a note. See Importing & Exporting Shipment Data in the help docs.
The Documents tab stores files such as bills of lading, packing lists, invoices, and customs paperwork. Choose “Add document” to upload one. Select an image or PDF to preview it.
