How does a purchase order track how much has shipped, how much has been received, and how much is still in production?
A purchase order’s shipped quantity measures how much of its lines is covered by linked supply shipments. Pending shipments count as soon as they are created, even before the goods leave the supplier.
Each PO line shows ordered and shipped quantities. Not Shipped, or Available to ship, is the ordered quantity minus shipment coverage, with a minimum of zero. Canceled shipments do not cover the PO, and split shipment quantities are counted through their original shipment.
If 100 of 200 units arrive on a top-level shipment with no children, marking it Received reduces its quantity to 100 and returns 100 to the PO as unshipped. The shipment retains the original expected count. Older shipments already marked Received or Closed retain their recorded line quantities.
Qty Received on a PO line sums receipts from its linked shipment lines, including children and excluding canceled shipments. It can be blank when there are no recorded receipts. Use the Shipments tab or the shipment export for the individual counts.
The Shipment Status filter compares coverage with ordered quantities across the PO. Shipped means the shipment coverage meets or exceeds the ordered total; Not shipped includes any remaining balance.
Not Shipped does not by itself mean goods are physically in production, and a covered quantity is not necessarily in transit. Inspect each linked shipment’s status to distinguish Pending, In Transit, and receiving work. Contact Endless support if the PO and shipment quantities do not reconcile.
