How do I close or archive a purchase order I’m done with, and what happens to its remaining incoming units?
To close a purchase order, open it and choose Closed from “Update Status.” Endless accepts Closed from any status, so you can close an order the supplier will never finish. To reopen it, choose another status from the same menu. A PO import with Closed in PO Status closes many at once.
Closing changes only the status. It does not add or remove stock, so closing old purchase orders does not add their units to inventory a second time. Their lines stop counting in the inventory columns On PO Not Shipped and On PO Shipped. Supply shipments from the purchase order keep their status. Open shipments with a destination building still count toward that building’s Incoming quantity until they are received and closed, or canceled. For old shipments whose stock is already counted, cancel them. Canceling a shipment does not change stock.
When every supply shipment is closed, close the purchase order from “Update Status” too. Endless changes a purchase order’s status only when someone sets it or a PO import does. Contact Endless support to discuss closing purchase orders automatically.
Archiving hides a purchase order. Choose “Archive” on the purchase order or in the row menu on the list, or select several and choose “Archive purchase orders.” It works at any status. An archived purchase order shows only with the “Archived POs” filter, and you cannot change its status or lines, or create shipments from it, until you restore it. Its lines leave the On PO counts.
Archiving does not cancel or hide supply shipments, so their units still show as incoming in the destination building. Cancel or close those shipments to stop that.
“Restore” brings back the purchase order with its status, milestones, payments, status history, and notes. It also restores lines that were removed from the purchase order before it was archived. Check the lines after restoring and remove any you do not want.
