How do I create or update purchase orders with an import, and which details can it set?

On the Purchase Orders page, choose “Import Purchase Orders” from the table menu and upload a CSV file with one row per line item. A PO Number that already exists updates that purchase order; a new one creates a purchase order.

Put PO Number and the purchase order’s fields on its first row. Following rows can leave PO Number blank and belong to the purchase order above. Each line needs an Item SKU of a product already in Endless.

Purchase order columns: Supplier Name, Supplier Handle, PO Short Description, PO Status, Issue Date, Confirmed Date, Expected Completion Date, Expected Shipment Date, Expected Delivery Date, Actual Completion Date, Actual Shipment Date, Actual Delivery Date, Closed Date, Payment Due Date, Cost Allocation Status, Financial Status, Payment Terms, Incoterms, and Special Instructions.

Line columns: Item SKU, Item Qty Ordered, Item Unit Cost, Item Lead Time, and Item Expected Ship Date, so you can set an expected ship date for each line. A blank unit cost on a new line uses the supplier’s cost tier or the product’s default unit cost.

PO Status can be any purchase order status, such as Issued or In Production. Endless applies it after saving and records the change on the purchase order’s timeline. A new purchase order without a status starts as Draft. The milestone follows the status. The Milestone column in exports is ignored on import.

Supplier Handle matches the supplier’s handle and takes priority over Supplier Name. Both must match an active supplier.

You can export, edit, and import back. Use the “Purchase Orders + Items” export, which has exactly the columns the import accepts. Files with older column names, such as Status or Expected Date, are rejected with the new name to use. Keep in mind that a blank Item Qty Ordered becomes 1, and lines removed from the file stay on the purchase order.
