What should my purchase order import CSV look like?

Use one row per purchase order line, with purchase order fields on the first row and a filled quantity on every item row.

PO Number,Supplier Name,Incoterms,Payment Terms,Expected Delivery Date,Financial Status,Item SKU,Item Qty Ordered,Item Unit Cost,Item Lead Time
PO-1001,Acme Manufacturing,FOB,Net 30,2026-07-15,unpaid,SKU-RED-S,10,12.50,14
,,,,,,SKU-BLUE-M,5,14.00,14

The second row belongs to PO-1001. The supplier and products must already exist. Use the exact supplier name, or Supplier Handle, which takes precedence.

For a minimal file, use PO Number, Item SKU, and Item Qty Ordered. To change only the header, omit item fields:

PO Number,Supplier Name,Expected Delivery Date
PO-1002,Acme Manufacturing,2026-08-01

To backfill a shipment date, use Actual Shipment Date:

PO Number,Actual Shipment Date,Item SKU,Item Qty Ordered
PO-2001,2026-06-01,SKU-RED-S,25

Dates do not select a status. Use PO Status when you also want to change status; a new purchase order without it starts Draft.

Use Financial Status values unpaid, partially_paid, or paid, and Cost Allocation Status values incomplete or complete. PO numbers use letters, numbers, underscores, hyphens, and periods. Item quantities must be nonnegative, and lead time is a nonnegative whole number.

Start with the Purchase Orders + Items export for round trips. Older headings such as Ship Date and Expected Date must become Actual Shipment Date and Expected Delivery Date. See all supported columns and how updates treat existing lines.
