How do I send a purchase order to my supplier, and what do the email and PDF include?
Select “Email PO” in the purchase order’s actions menu to email the supplier a PDF of the purchase order. Email PO is hidden on archived purchase orders. If you do not see it on another purchase order, contact Endless support. You can also download the same PDF and send it yourself.
The To field starts with the purchase order’s contact email, then the supplier contact’s email, then the supplier’s email. You can change it. CC starts with your own email, and you can add more addresses separated by commas. To CC the same people on every Email PO, contact Endless support to set default CC addresses for your company.
Sending does not change the purchase order’s status. If you tick “Also update PO issue date to today,” Endless sets the issue date before it builds the PDF. Move the purchase order to Issued yourself.
The email is sent from an Endless address, so keep yourself on CC to receive supplier replies. Your team records supplier confirmations and milestone updates on the purchase order. Contact Endless support to discuss supplier replies or supplier access to Endless.
The PDF shows your company logo or name, the PO number, Issue Date, Required (the expected date), payment terms, incoterms, and status. It lists Buyer, Supplier with the supplier’s default contact, and Ship To, which shows your company name. The line table shows SKU, description, quantity, unit price, and extended price, followed by the total. “Notes & Instructions” shows the special instructions. Internal notes on the purchase order are not included.
Line items on the PDF follow the sort you choose for the Line Items table, so sort the table first, then download or email the PDF.
