What does Endless send to QuickBooks Online, how often, and to which accounts?
Endless sends QuickBooks Online invoices and sales receipts for your orders, and can create or update items, vendors, and customers there. From QuickBooks it imports your chart of accounts, payment terms, vendors, customers, and items. Each line goes out with its item, quantity, and price; for inventory items, QuickBooks records cost of goods sold itself. Contact Endless support to discuss sending purchase orders or bills to QuickBooks.
Create accounting documents manually, or with a Shipment Created automation using Create order financial document. The automation chooses invoice or sales receipt and creates only uninvoiced quantities; enabling accounting alone does not create documents. Later order or shipment changes do not automatically rewrite existing documents. Invoices are always sent by hand. Sales receipts are sent automatically only for channels with Automate Consolidated Receipts on, on the Send cadence: Daily sends one receipt per channel and accounting customer for each day, at 7 PM Pacific; Monthly sends one per month, at 7 PM Pacific on the month’s last day.
“Enable sending to QuickBooks” is off by default. While off, Endless still creates documents but sends nothing, and records on the order that a document was not sent.
Push Historical Data to Accounting Integration sends unsent invoices, one per document, or unsent sales receipts, combined by day or month, for up to 31 days per run, after a pre-flight check. Sales receipts are included only for channels with Consolidated Sales Receipts on. Backfill Order Financials creates missing accounting documents for orders shipped in a period of up to 31 days. It does not send anything to QuickBooks.
Without a deposit account on the document or a Default deposit account, sales receipt funds go to Undeposited Funds. Without payment terms on the invoice or Default payment terms, QuickBooks applies the customer’s default terms.
Accounting source of truth decides which side wins on later imports. QuickBooks, the default, updates Endless accounting records on each import; Endless only adds missing records.
Freight destination: Mapped freight item, the default, bills freight to the Freight item you choose. QuickBooks shipping field uses QuickBooks’s own shipping line and requires Shipping turned on in QuickBooks. Use a mapped item to post freight to that item’s income account.
