How do I send, edit, or remove an order’s accounting document in QuickBooks Online?

Push to QuickBooks sends an accounting document as an invoice or sales receipt. The integration must be connected, initialized, and enabled for sending. The work runs in the background; the document shows its sent status after completion. Consolidated sales receipts follow the channel’s consolidation settings and cadence.

Each document saves its QuickBooks customer when created. The default is the order’s linked accounting customer, unless it inherits from the channel, then the document’s sales channel mapping. Later changes to the order or mappings do not replace the saved choice. On the order’s Accounting card, use Customer Mapping, Sales Channel Mapping, or search for another QuickBooks customer. Use default recalculates the choice for that document. A document without a saved customer cannot be sent.

Editing a sent document updates the same QuickBooks document, including changes to lines, dates, discounts, shipping, tax, terms, or deposit account. Choosing another accounting customer moves that document to the selected customer. Update Invoice or Update Receipt resends the current version.

Changing between invoice and sales receipt replaces the document with a new, unsent document. The old QuickBooks document follows Document removal:

  • Disabled: it stays in QuickBooks and needs manual cleanup.
  • Void: Endless voids it.
  • Delete: Endless deletes it.

The same setting applies when a sent document is deleted. Shipment changes do not automatically rewrite existing accounting documents. An unsent document is removed without a QuickBooks action. Consolidated receipt channels restrict document-type changes.

“Unlinked” on a line means its product lacks a QuickBooks item mapping. Run Import Items or configure and push the product, then retry. Contact Endless support if a document remains incomplete.
